Terms and conditions

Acceptance of Terms

By booking a trip with Espíritu Travel, you acknowledge that you have read, understood, and agreed to the following terms and conditions. These terms exist to ensure clarity, fairness, and a smooth experience for both travelers and our team.

Proposals & Quotes

All quoted prices are estimates and may change until a deposit is received by Espíritu Travel. Once a deposit is paid, pricing is confirmed. Espíritu Travel reserves the right to correct any pricing or typographical errors should they occur before a deposit is made. Unless explicitly stated in writing, quoted prices do not include international airfare and city taxes.

Booking & Payments

By clicking “Approved” or confirming by email that you would like to book, you indicate your intention to purchase the trip as outlined in the agreed proposal and to pay the applicable price.

A non-refundable deposit of 30% of the total trip cost is due at the time of booking. The remaining non-refundable payments must be paid at least 60 days prior to arrival. Trip departures within 60 days require full payment.

If full payment is not received by the due date, we may cancel the trip. In that case, standard cancellation terms will apply. This policy allows us to honor commitments made to our partners and suppliers on your behalf.

Passport Information (Essential Requirement)

To confirm flights, train tickets, and certain entrance tickets (e.g., Alhambra), we require passport details within 48 hours of deposit.

Providing this information promptly is essential. Without it, we cannot guarantee availability, and Espíritu Travel cannot be responsible for price increases to flights and trains or missed reservations resulting from delayed passport submission.

Cancellation Policy

If you need to cancel your trip, we ask that you notify us in writing by email. The cancellation will take effect once received by your assigned travel advisor.

We invest significant time and resources into planning and securing services in advance. For this reason:

  • All deposits are non-refundable
  • Funds paid may be eligible for a travel credit valid for up to one (1) year, depending on:
    • The timing of cancellation
    • The policies of third-party providers (hotels, activities, transportation)

We will make reasonable efforts to secure the maximum credit available. Please note that credits do not cover future price increases or seasonal rate changes.

Travel Insurance

We strongly recommend purchasing travel insurance to protect your payments in the event of unforeseen trip interruptions. Coverage often includes trip cancellation, interruption, and medical expenses.

Insurance may be purchased through our preferred provider, Wanderwell, or any provider of your choice.

Changes Before Arrival

Requests for date or itinerary changes are reviewed on a case-by-case basis. We will do our best to accommodate when feasible. We are not responsible for any additional costs.

Changes or Additions While In-Country
  • Outside 72 hours: a $50 administrative fee per change applies, plus any supplier costs
  • Within 72 hours (excluding weekends and holidays), changes cannot be accommodated

Cancellations During the Trip
  • Cancellations made more than 72 hours in advance may be eligible for a refund, depending on supplier policies
  • Cancellations within 72 hours are non-refundable
  • Hotel bookings are non-refundable

If your flight is delayed, we’re usually unable to adjust the pickup time within 24 hours of the originally scheduled transfer. This limitation exists because transportation services are confirmed in advance.   The service is booked with a chauffeur, not a taxi;  these chauffeurs most often have multiple assignments per day, which is why rescheduling or finding a driver at the last minute is often not possible.

You’re welcome to:

  • Use the transfer as scheduled and arrive early at the airport, or
  • Ask your hotel reception to arrange a taxi for your preferred arrival time.

Please note that transfer services and taxi costs are non-refundable. For reimbursement, you may submit a claim directly to the airline or through your travel insurance provider.

Passports & Visas

All travelers must hold a passport valid for at least six (6) months beyond the return date.

Travelers are responsible for ensuring they meet all entry, transit, and re-entry requirements. Espíritu Travel cannot be held responsible for denied boarding or entry due to documentation issues.

Visa guidance is provided only for U.S. passport holders. Travelers with other passports must verify requirements independently.

Communication & Trip Management App

To support you effectively during your trip, we use a designated trip management app, called Trip Plans, as our communication tool.

Travelers are responsible for:
  • Downloading the app
  • Reviewing in detail their trip plans
  • Using the in-app chat while in country for timely support

Messages sent via email or other channels will not receive prompt responses. To ensure efficient assistance, all in-trip communication occur through the chat feature in the app.

Customer Behavior & Mutual Respect

At Espíritu Travel, we are committed to respectful, meaningful travel experiences—for our travelers, partners, and team.

Our advisors and support team work diligently using multiple verification systems; however, we are human. If something needs clarification or correction, we ask that concerns be communicated respectfully. Clear, calm communication allows us to assist you more effectively and resolve issues as quickly as possible.

We are here to support you and will always do our best to find solutions within the scope of what is possible.

Limitation of Liability

Espíritu Travel is not responsible for injury, illness, loss, or damage resulting from circumstances beyond our control or from actions of independent suppliers. Travelers acknowledge the inherent risks of travel and agree not to hold Espíritu Travel liable for unforeseen events.

Force Majeure

Espíritu Travel shall not be liable for any failure to perform, delay in performance, or cancellation of any services arising from events beyond its reasonable control (“Force Majeure Events”). Such events include, but are not limited to, acts of God, natural disasters, pandemics or public health emergencies, war, terrorism, civil unrest, strikes or labor disputes, governmental actions or restrictions, border closures, transportation disruptions, weather conditions, power outages, or the failure of third-party suppliers.

In the event that a Force Majeure Event materially affects the traveler’s trip, Espíritu Travel will make commercially reasonable efforts to assist the traveler in securing alternative arrangements or applicable credits from third-party suppliers. However, Espíritu Travel cannot guarantee refunds and shall not be responsible for losses, damages, or additional expenses incurred as a result of such events.

Any refunds, credits, or alternative arrangements shall be subject to the terms and conditions imposed by third-party service providers. Espíritu Travel’s obligations in such circumstances shall be limited to the assistance described herein and shall not extend to compensation for incidental or consequential damages.
